Sales CRM: Running a Pipeline That Tells You the Truth
By Recenvy Team ·
How to run a sales pipeline that reflects reality: clean stages, one owner per deal, weighted forecasting, and quotes that convert straight into invoices.
A sales pipeline is only useful if it is honest. Most are not. Deals sit in "Proposal" for months, two reps claim the same account, and the forecast is a number nobody defends out loud.
Fix the stages first
Stages should describe what the buyer has done, not how hopeful the seller feels. "Quote sent" is a fact. "Very interested" is not. Keep the list short enough that everyone uses it the same way, and define the exit criteria for each stage in one sentence.
One owner, one next action, one date
Every open deal needs a named owner, a next action, and a date for that action. A deal with no next action is not a deal — it is a memory. This single rule removes most of the noise in a pipeline review.
Forecast with weighting, not optimism
Attach a probability to each stage and let the system weight the value. The output is less flattering and far more useful: you can see the gap to target early enough to do something about it, instead of discovering it on the last day of the month.
Close the loop into quotes and invoices
The moment a deal is won, the admin starts: quote, revision, approval, invoice, payment, follow-up. When those live in a different system to the pipeline, the handover leaks. Keeping the quote, the invoice and the client record on one timeline means:
- A quote becomes an invoice without retyping line items or VAT
- Payments and outstanding balances show on the client record
- Sales sees which "won" deals have not actually been paid
Report on activity and outcomes
Targets are worth setting only if the underlying activity is visible: deals created, quotes issued, follow-ups completed, conversion by stage and by owner. That is the difference between coaching a team and pressuring it.
In Recenvy, pipelines, quotes, VAT invoicing, targets and reporting sit in one system with the stakeholder record, so the forecast and the finances agree.
