Recurring Invoicing in South Africa: Getting Retainers Billed Right Every Month

How South African businesses can automate recurring invoices for retainers and service plans, handle VAT and escalations, and stop losing revenue to manual monthly billing.

Recurring Invoicing in South Africa: Getting Retainers Billed Right Every Month

Recurring revenue is the most valuable revenue a South African business can build and the easiest to lose quietly. Not to churn. To billing that depends on somebody remembering.

The three ways manual recurring billing leaks

  • Missed months. One busy month-end and a client is simply not invoiced. It is rarely discovered, because nobody misses an invoice that was never raised.
  • Stale pricing. The annual escalation was agreed in writing and never applied to the invoice template.
  • Scope drift. Extra users, extra sites or extra services delivered for months before anyone updates the recurring amount.

At a R25,000 monthly retainer, one missed month and a skipped 7% escalation is over R45,000 in a single year, from one client.

Set the profile up once, properly

A recurring billing profile needs six things defined at the start:

  1. Frequency and billing date — monthly on the 1st, or the anniversary of activation
  2. In advance or in arrears — decide and state it on the invoice, because this is the most common client dispute
  3. Term and end date — including whether it auto-renews
  4. Escalation rule — the percentage and the anniversary month, applied automatically
  5. VAT treatment — 15% where applicable, with a valid tax invoice layout that meets SARS requirements
  6. Payment method — debit order, EFT or online payment link, with terms stated

Then automate the run

A generated recurring run should produce the invoices, apply the current price, number them sequentially, email them to the right billing contact and record the run so you can prove what went out and when. The staff job changes from creating invoices to reviewing a run before it sends, which takes minutes.

Watch the run history, not the inbox

The single most useful control is a run history you can search: which client, which period, what amount, sent or failed. It answers "did we bill them for March?" in seconds, and it surfaces failed sends before the client notices nothing arrived.

Collections belong to the same system

Automated invoicing without automated follow-up just produces overdue invoices faster. Pair the run with a reminder ladder, a monthly statement showing the running balance in Rands, and a portal where the client can see what is outstanding and pay it.

What to check this month

  • List every recurring client and compare the invoiced amount to the signed agreement
  • Check when escalations were last applied
  • Find any client billed for less than 12 invoices in the past year
  • Confirm each invoice goes to a billing contact who can actually authorise payment

Recenvy generates recurring invoices automatically on a daily schedule, applies pricing from the profile, tags every generated document, keeps a searchable run history with billed totals, produces South African tax invoices and statements in Rands, and gives clients a portal to view and pay. Recurring revenue should be the part of the business that runs itself.
